Frequently Asked Questions

Everything You Need to Know

About AgenticOS, our AI agents, security, pricing, and how we compare to the alternatives.

Getting Started

What is AgenticOS?

AgenticOS is the operating system for autonomous business operations. We provide the complete AI stack (platform, models, security, UK data compliance, and ongoing management) so your business can run AI-powered operations without hiring ML engineers or building infrastructure.

Most companies want AI but can't deploy it. They don't have the technical capability, and frankly, it's not their core business. AgenticOS solves that completely. You connect your accounting system, we handle everything else, and you wake up to find the work's already done.

What's the difference between AgenticOS and automation tools?

Traditional automation tools follow rules you configure. They do exactly what you tell them. AgenticOS agents make decisions.

  • Automation: "If invoice amount matches PO, approve it."
  • AgenticOS: "This invoice is £200 over the PO, but historical data shows this vendor's prices increased 3% last quarter, delivery was confirmed, and the variance is within your approved tolerance. Approving and posting to Xero."

But the bigger difference is infrastructure. Automation tools are software you run and maintain. AgenticOS is a fully managed service. We provide the entire AI stack, and you don't build or maintain anything.

What's a 60-day shadow pilot?

A shadow pilot is how you prove AgenticOS works for your business, with zero risk.

  • We connect to your accounting system (Xero or Sage) via secure OAuth
  • Our agents observe your transactions for 60 days
  • They process everything as if they were live, but take no action
  • At the end, you receive a detailed report showing exactly what would have been automated, what would have been escalated, and your projected ROI

No commitment. No cost. Real data. You see the value before you pay anything.

Do I need a technical team or IT department?

No. That's the entire point.

Most companies want AI-powered operations but can't deploy it. They don't have ML engineers, cloud architects, or data scientists. Building AI infrastructure isn't realistic for them, and why would it be? It's not their business.

We've already built that infrastructure. AgenticOS provides everything: the platform, the AI models, the security, the UK data compliance, and the ongoing management. You don't hire anyone technical or build anything. You just connect and let the agents work.

How quickly can we get started?

Most clients are operational within 7 days:

  • Day 1: Account creation and Xero/Sage OAuth connection
  • Day 1-2: Email forwarding setup for invoice ingestion
  • Day 2-3: Configure your decision boundaries and approval thresholds
  • Day 3-7: Historical data import (optional)
  • Day 7+: First invoice processed autonomously

For shadow pilots, connection is typically same-day.

How It Works

How do agents make decisions?

Every agent follows our 5-Phase Autonomous Decision Loop:

  • EXTRACT: Pull data from documents, emails, and connected systems
  • VALIDATE: Cross-reference against POs, historical patterns, vendor data, and your business rules
  • DECIDE: Calculate a confidence score and determine the appropriate action
  • EXECUTE: If confidence exceeds your threshold, take the action (post to Xero, send email, etc.)
  • AUDIT: Log every decision, data point, and reasoning to an immutable audit trail

If confidence falls below your configured threshold, the agent escalates to your human review queue with a recommendation and full reasoning.

What are "decision boundaries"?

Decision boundaries are the guardrails you set that define what agents can do autonomously:

  • Approval thresholds: "Auto-approve invoices under £10,000"
  • Variance tolerance: "Allow up to 5% price variance from PO"
  • Vendor tiers: "Tier 1 suppliers can be auto-approved; new vendors require review"
  • Confidence minimums: "Only execute if confidence is above 85%"

You control the boundaries. Agents operate within them. You can adjust at any time. Start conservative, then expand as trust builds.

What happens when an agent is uncertain?

Agents are designed to know what they don't know. When uncertainty exceeds your thresholds:

  • The agent stops before taking action
  • Adds the item to your human review queue
  • Provides its recommendation with full reasoning
  • Lists the specific factors causing uncertainty

You review, decide, and the agent learns from your decision for similar future cases. The 10% that escalates is the system working as designed.

Can agents work together?

Yes. When you deploy multiple agents (the Finance Squadron), they share context and coordinate:

  • Invoice Maestro processes a large invoice, and Cash Prophet updates the forecast
  • Credit Controller chases an overdue payment, and Cash Prophet adjusts receivables
  • Vendor Negotiator identifies a renewal, and Month-End Closer schedules the accrual

A coordination layer ensures agents communicate and don't duplicate work.

Comparisons

How is AgenticOS different from RPA tools like UiPath or Automation Anywhere?

RPA (Robotic Process Automation) records and replays human actions: clicking buttons, copying data between screens, and following predetermined workflows. When something unexpected happens, the bot breaks and needs human intervention.

AgenticOS agents reason about what they're doing:

  • RPA: "If field A matches field B, copy to field C"
  • AgenticOS: "This invoice is £200 over the PO. Historical data shows this vendor's prices increased 3% last quarter. Delivery was confirmed. Variance is within tolerance. Approving."

RPA automates the mechanical. AgenticOS automates the judgement.

RPA also requires significant implementation: process mapping, bot development, ongoing maintenance, and technical staff to manage it. AgenticOS is fully managed. You connect to Xero and let the agents work.

Capability RPA (UiPath, etc.) AgenticOS
Decision making Rule-based only AI reasoning with judgement
Handles exceptions Breaks, needs human Reasons through or escalates intelligently
Implementation Months of process mapping Connect and go in days
Technical staff needed Yes (RPA developers) No (fully managed)
Best for High-volume, zero-variation tasks Tasks requiring judgement
How is this different from AP automation tools like Vic.ai, Stampli, or Tipalti?

Those are excellent tools, and they're exactly that: tools. They speed up your existing process. You still review. You still approve. You still manage.

AgenticOS agents are autonomous:

  • AP tools: Extract data → Present for review → You approve → Post
  • AgenticOS: Extract data → Decide → Execute → Log (escalate only if uncertain)

We're not making your team faster at invoice processing. We're processing invoices so your team doesn't have to.

The key difference is the decision boundary. You set the rules (approve invoices under £5K from Tier 1 vendors if PO matched). The agent makes the call. You handle exceptions only.

AP tools also focus solely on accounts payable. AgenticOS provides the full Finance Squadron: AP, AR, cash forecasting, vendor management, and month-end close, all coordinated on one platform.

Why wouldn't I just build this myself with LangChain or similar frameworks?

You could. LangChain, LangGraph, and CrewAI are powerful frameworks for building AI agents.

But building is just the start:

  • Prompt engineering and testing across thousands of invoice variations
  • Xero/Sage API integration with OAuth token management
  • Confidence calibration so the agent knows when to escalate
  • Audit logging that satisfies your accountants
  • Multi-tenant infrastructure with data isolation
  • UK data residency and GDPR compliance
  • Ongoing model updates as LLMs improve
  • ML engineers to build and maintain it (£80-120K each)

We've done this work. Invoice Maestro has processed thousands of invoices across dozens of formats. The prompt engineering alone took months.

Build vs Buy: £300-500K and 12-18 months to build internally. Or connect to AgenticOS and have agents running in a week.

Unless AI agent development is your core business, buying is faster than building.

What about Microsoft Copilot or ChatGPT for finance tasks?

Copilot and ChatGPT are assistants. They help you do work faster. You prompt, they respond, and you act.

AgenticOS agents are autonomous. They do the work while you're not there.

  • Ask Copilot to process an invoice: It might extract the data and suggest a journal entry.
  • Invoice Maestro: Extracts data, matches PO, verifies vendor, applies GL code, checks approval thresholds, posts to Xero, logs the decision, and moves to the next invoice. At 3am. Without prompting.

Assistants are brilliant for ad-hoc questions and document analysis. Agents are for repetitive operational work that follows patterns and needs to happen whether you're there or not.

How do you compare to FP&A tools like Datarails or Cube?

Different category. Datarails and Cube are excellent for financial planning, consolidation, and reporting. They make your FP&A team more effective at analysis and forecasting.

AgenticOS handles operational finance, the transactional work that happens before you get to analysis:

  • Processing invoices (Invoice Maestro)
  • Chasing payments (Credit Controller)
  • Generating cash forecasts (Cash Prophet)
  • Month-end reconciliation (Month-End Closer)

We're upstream of FP&A. Clean, automated operational data makes your Datarails implementation work better.

Some clients use both: AgenticOS for autonomous operations, and FP&A tools for planning and reporting.

How does this compare to hiring consultants?

This is actually our primary comparison. Consulting spend is often where finance transformation budget sits:

Option Annual Cost What You Get
Big 4 Finance Transformation £300-500K Recommendations and advice
Boutique Consultancy £150-300K Recommendations and advice
AgenticOS Finance Squadron £75K The work, done autonomously

The key difference: consultants advise what to do. We do the work.

And consulting intelligence leaves when the engagement ends. AgenticOS agents improve over time and stay permanently embedded in your operations.

Security & Compliance

Where is my data stored?

All data is stored in AWS eu-west-2 (London) and never leaves UK jurisdiction. This satisfies GDPR data residency requirements and UK data sovereignty policies.

Infrastructure includes:

  • AES-256 encryption at rest for all databases and document storage

Finance Squadron (all 5 agents): £6,250/month (£75,000/year), which includes multi-agent coordination, SLA guarantee, and dedicated success manager.

How does this compare to hiring staff?

Invoice Maestro at £1,500/month = £18,000/year

An AP clerk costs £28,000-£35,000/year in salary alone, plus:

  • Employer NI (13.8%)
  • Pension (3-5%)
  • Holiday cover
  • Sick leave
  • Training time
  • Management overhead

True comparison: £18K agent vs £45K+ fully-loaded employee. And the agent works 24/7.

What is the contract length?
  • Monthly: Cancel anytime with 30 days notice
  • Annual: 2 months free (pay for 10, get 12)

No lock-in. No penalties. No drama.

Are there any additional costs?

The subscription includes everything for standard usage:

  • Priority support: +£250/month (4-hour SLA)
  • Volume tier: Contact us if processing more than 500 invoices/month

Accuracy & Trust

What if an agent makes a mistake?

Every decision is reversible and logged:

  • Full audit trail with reasoning
  • One-click reversal in the dashboard
  • Agent learns from corrections
  • Error patterns trigger boundary adjustments

Our target: 99.2% extraction accuracy and 90% autonomous decision rate. The 10% that escalates is the system working as designed.

How do I know what decisions were made?

Complete transparency via:

  • Decision log: Every action with timestamp, confidence, and reasoning
  • Weekly digest: Summary of all autonomous actions
  • Anomaly alerts: Real-time notification for unusual patterns
  • Audit export: Full history for external auditors
Will this work with our unusual invoice formats?

Probably yes. Our multi-model approach handles:

  • Native PDFs and scanned documents
  • Non-standard layouts
  • Handwritten elements (with confidence flags)
  • Low-quality scans (with confidence flags)

During your shadow pilot, we identify any edge cases specific to your vendors. If extraction confidence is low, those invoices go to human review.

Support & Onboarding

What support do you provide?
  • Standard: In-app chat and email with 4-hour response SLA (UK business hours)
  • Priority: Video call support with 8-hour response SLA (+£250/month)
